Our Services
We will deal with all aspects relating to the management of your property.
Our fees are charged on a per flat/house basis, and not as a percentage of income or expenditure.
The services we will provide are as follows:
- Arranging periodic inspections. This requirement cannot be specified by relation to fixed intervals.
- Annual review of the future building maintenance programme.
- The annual assessment of maintenance charges required to establish sufficient reserves for above.
- The preparation and issue of demand notes for maintenance charges and ground rent.
- Collect arrears if these charges are not paid within a specified period from the date the payment fell due and where applicable to consult and correspond with solicitors if required.
- Receiving and recording payments. The issue of receipts where requested. Banking payments.
- The keeping of books, receipts, records and accounts. Keeping and storing full and complete file records.
- Maintaining client bank accounts. Monthly bank account reconciliation.
- Payment of the annual comprehensive insurance premium to comply with the Lessors insurance obligations and supplying a copy of the policy schedule on request. Annual revaluation of the sums insured and negotiating claims with the insurers.
- Preparing the annual Maintenance Accounts and arranging the Audit and Accountants Certificate.
- Distribution of annual accounts to the Lessees and reporting to the Lessor. Dealing with Audit enquiries and making records available for inspection by the Lessees.
- Approval and payment of service invoices.
- Arranging and monitoring service contracts (e.g. lift, garage security control systems, fire extinguishers, T.V. aerial and door entry system).
- Dealing with Lessee's enquiries and providing additional explanation or detail as requested.
- Responding to solicitors enquiries upon the transfer of leases, and supplying copy maintenance accounts and insurance schedules as required.
- The issue of Notices under the Landlord & Tenant Acts and other legislative requirements relative only to normal duties.
- Periodic renewal of the Fire Certificate where an alarm system has been installed and attending to the Fire Brigade's requirements.
- Supervision of minor works. Obtaining estimates and instructing Contractors.
- Where the estimated cost of works required are in excess of £250.00 per flat to instruct a surveyor to prepare a detailed specification, obtain competitive tenders and serve the relevant notices in accordance with Section 20 of the Landlord and Tenant Act 1985 as amended by The Commonhold and Leasehold Reform Act 2002.
- Enforcement of Covenants against individual Lessees and dealing with disputes and nuisances caused by Lessees or their sub-tenants.
- Issue demand notes for excess payments as defined in the lease and pay contractors invoices on receipt of a certificate issued by the surveyor.
- Reporting to the Lessor from time to time in regard to the Estate Management programme.
